Export logistics and shipping documentation
Freight methods, Incoterms, commercial invoices, packing lists, and working with freight forwarders.
To export goods successfully, you must choose the right shipping method, prepare correct documents, and understand Incoterms. Use freight forwarders if you need help with logistics. Submit customs declarations 30 minutes to 2 hours before departure.
- Choose shipping method: air (fast/expensive), sea (slow/cheap), road (Europe), rail (bulk)
- Submit customs declarations: air (30 min before), sea (1-2 hours before), road (1 hour before)
- Use Incoterms like FCA (seller delivers to carrier) or DAP (seller delivers to destination)
- Prepare essential documents: customs declaration, commercial invoice, packing list
- Check if you need a Certificate of Origin (apply via Chamber of Commerce)
- Get an EORI number for UK exports
- Use freight forwarders for large volumes, high-value items, or new exporters
- Ynclude Incoterms clearly in contracts (required after Brexit)
- For dangerous goods, follow specific packaging and labelling rules
- Commercial invoices must include HS codes, weights, and buyer/seller details
Successfully exporting goods requires understanding shipping methods, choosing appropriate Incoterms, preparing compliant documentation, and often working with professional freight forwarders who handle the complex logistics.
When to use freight forwarders
Recommended for businesses new to exporting, companies with large volumes or high-value items, and situations where you're not well-connected in the destination market. Freight forwarders book cargo, arrange insurance, handle customs clearance, oversee packing, and arrange storage.
Essential export documentation
Every export requires specific documents for customs clearance. Missing or incorrect documentation causes costly delays and penalties.
Special handling: dangerous goods
If exporting hazardous materials, you must comply with strict classification, packaging, and labeling regulations that vary by transport mode (ADR for road, IMDG for sea, IATA for air).
